Your Calendar Should Know Your Moves, Automatically. Zen Does.
You booked a wedding two hours away on a Saturday. On paper, it is one event. In reality, it is a full day: the drive there, load-in, setup, the event itself, tear-down, and the drive home. Maybe a hotel stay the night before. Zenvents360 accounts for all of it - automatically.
The real commitment behind every booking
When a client books a 6 PM ceremony, they are buying six hours of your time. When you accept that booking, you are committing more like twelve. Setup starts at 2 PM. You left home at noon. Tear-down goes until midnight. You hit the road home at 1 AM. And if the venue is 150 miles out, you might be leaving the day before and coming home the day after.
Most calendar software treats that six-hour ceremony as a six-hour block. Zenvents360 treats it as the full operational commitment it actually is - and blocks your schedule accordingly.
Real driving time from Google Maps
Zenvents360 pulls real driving distance and estimated travel time from the Google Maps API using your business address and the event venue. This is not an estimate you enter manually. The system knows how far the venue is, and it knows how long the drive takes.
That travel time gets blocked on your calendar in both directions - before and after the event. If you have a 90-minute drive to a Saturday afternoon wedding, Zenvents360 blocks 90 minutes before your setup window and 90 minutes after your tear-down time. That time is no longer available for other bookings, inquiries, or commitments. Your calendar reflects reality.
This prevents the kind of double-commitment that happens when you eyeball two bookings on the same day and mentally round down on the travel. A 45-minute drive becomes an hour in traffic. A two-hour gig plus a 45-minute drive on each end is nearly four hours. The system does the math so you do not have to.
Setup, event, and tear-down as separate blocks
The event itself is only one component of your scheduled time. Zenvents360 tracks travel, setup, event duration, and strike time as individual blocks - each with their own scheduled start and end, each contributing to the total time commitment for that booking.
Setup and tear-down times are configurable by event type and can be adjusted per booking. A backyard corporate party and a full five-hour wedding reception are not the same setup. The system gives you the flexibility to reflect that - and still blocks everything correctly on the calendar.

Automatic travel charges when distance thresholds are crossed
Many event professionals charge a travel fee for events beyond a certain mileage or time threshold - say, anything over 50 miles or more than 90 minutes from home base. The problem is remembering to add it, calculating it correctly, and not forgetting to include it in the proposal.
Zenvents360 handles this automatically. When the Google Maps calculation determines that the event venue exceeds your configured distance or time threshold, a travel charge is added to the event financials without you having to touch it. Set your threshold once, forget about it, and trust that every proposal that crosses the line will already have the charge included.
No more clients calling to dispute a fee you added after sending the initial proposal. No more realizing three weeks before a gig that you forgot to build in the fuel cost for a four-hour round trip. It is there, it is correct, and it was handled the moment the venue was set.
Lodging accommodation for long-distance events
For events that cross a second threshold - greater distance, longer drive, or a venue that simply makes same-day travel impractical - Zenvents360 can automatically flag and add a lodging accommodation to the event. This might be a flat lodging fee, a per-night amount, or a separate line item depending on how you configure it.
The logic is the same as travel charges: define your threshold, and the system handles the rest. If you will not drive more than 200 miles without staying the night, that rule lives in your settings. When a booking comes in for a venue 230 miles away, the lodging line item appears in the proposal automatically.
This is the kind of thing that gets missed when you are busy. A destination event comes in during a hectic stretch, you turn the proposal around fast, and two months later you are booking a hotel room out of pocket because it was not in the contract. That does not happen when the system is watching the distance for you.
It follows you to your personal calendar too
All of this scheduling intelligence - the travel blocks, the setup windows, the event itself, the strike time - syncs to your personal calendar automatically via a webcal subscription feed. One URL, added once to Apple Calendar, Google Calendar, or any calendar app that supports webcal, and your phone stays current without any manual exports or copy-paste.
That means when you look at your Saturday in the Calendar app on your phone, you see the full picture: 12:00 PM - drive to venue, 2:00 PM - load in and setup, 5:00 PM - event, 11:30 PM - tear-down, 1:00 AM - drive home. Not just the ceremony block. The real day.
Your spouse, your second shooter, your assistant - anyone you share your calendar with sees the same thing. No one is scheduling a road trip or a family dinner over a day you are completely committed to, because the calendar reflects what the day actually looks like.

Peace of mind, not just efficiency
The calendar blocking is about preventing conflicts. The automatic charges are about protecting your revenue. But taken together, they offer something bigger - a genuine peace of mind that your tools are accounting for the realities of the job.
Event work is physical. It involves vehicles, equipment, miles, and hours that never show up on the event card itself. Every event professional who has driven home at 2 AM from a venue two states away knows that a booking is not just a booking. Zenvents360 is built by someone who has made that drive - and built the software to make sure the business side of it is handled before the van ever leaves the driveway.
Schedule every event the way it actually works
Advanced Scheduling is live in Zenvents360 now, including Google Maps travel time and automatic travel and lodging charges.
