Templates that actually use your data

The contract template system in Zenvents360 supports more than 100 variable placeholders that pull directly from the event record. Client name, email, phone number, event date, start time, venue name, venue address, package name, package price, retainer amount, balance due, payment due dates, anniversary date for wedding contracts - all of it is available as a variable.

When you generate a contract for an event, the template is populated automatically. There is no manual editing step where you hunt for the placeholder text and substitute the real information. Everything that is on the event record is already in the contract when it generates.

This eliminates one of the most common sources of professional embarrassment in the event industry: a contract that still has the wrong name in it because you forgot to change one instance, or still shows the old venue because you updated the event but not the document. The contract and the event are the same record.

Package-level addendums

Different packages often have different terms. The agreement for a basic DJ package is not the same as the agreement for a full production setup with lighting, a photo booth, and a second shooter. Zenvents360 supports addendums at the package level - additional clauses that are included automatically when a specific package is selected on a proposal.

This means your production package contract automatically includes the production addendum. Your photo booth package includes the photo booth terms. You do not have to remember to add them or maintain separate template files for every combination. The relationship between the package and the addendum is defined once and applied every time.

Add-on addendums work the same way. If a client adds a photo booth to a DJ package they have booked before, the photo booth terms append to their contract on the next version. The contract reflects what the proposal reflects.

Digital signatures with a legal trail

The client signs directly in their portal - the same passwordless interface they use to view the proposal and make payments. They can draw their signature on a canvas, or type their name and have it rendered. Either method is valid as an electronic signature under federal and state e-signature laws.

When the signature is captured, the platform records the timestamp and the IP address of the device used to sign. This information is stored with the contract version and is available in your records. If a client ever questions what they agreed to or when, you have the complete documentable answer.

Contract version history is maintained throughout the event lifecycle. If a contract is amended - new package, added service, date change - the prior versions remain accessible. The signed original does not disappear when a new version is issued.

System templates and your own library
